Room Blocks FAQ

A room block is a group of reserved rooms, typically 10 or more, for at least 2 nights, set aside for your group’s guests. Minimums may vary, especially during holidays or peak seasons.

Contracted blocks guarantee that a specified number of rooms are reserved exclusively for your group. This agreement ensures that a percentage of these rooms will be financially covered by your group at the end of the contract period, regardless of occupancy (attrition).

Room blocks provide better rates and often reduced resort and parking fees. Opting for a contracted block provides peace of mind, ensuring guest rooms at a consistent rate for all guests will be available.

– Cut-off/release date: Ensure you meet deadlines to release unbooked rooms.

– Attrition: Understand obligations for filling a minimum percentage of blocked rooms.

– Force majeure clause: Review terms for unforeseen circumstances that may affect the contract.

– Deposit amounts: Be aware of any required deposits, which may cover incidentals or room guarantees.

– Room rate & pre/post night allowances: Confirm if discounted rates apply for early arrivals or late departures.

Attrition refers to the obligation to pay for a specified percentage of the blocked rooms, even if they are not all occupied. This ensures that the hotel receives a minimum level of revenue from the group reservation.

Hotels implement an attrition policy for all contracted room blocks. The attrition penalty is in place should the event use fewer guest room nights than initially reserved in the signed contract.

Industry standards typically include a 10% to 20% attrition allowance, requiring the fulfillment of 80-90% of contracted rooms. Hotels calculate pick-up and attrition in three main ways, outlined in the contract:

– Cumulative: Based on the total pick-up across all block dates, allowing for the inclusion pre and post-stays.

– Per Night: Calculated on a nightly basis, with allowances for attrition per night.

– Revenue: Determined by expected minimum room revenue over the course of the block or nightly.

Hotels adhere to global commission standards, depending on whether the hotel belongs to a larger group or is independent. For example, Marriott, Hyatt, Hilton, and Intercontinental group hotels have a non-negotiable 7% group commission structure. On the other hand, many independent hotels and smaller groups have a non-negotiable 10% group commission structure.
